What Drives the Cost of a School Meal Program
If you've shopped around for a meal service, you've probably noticed that most providers, us included, quote pricing per program rather than publishing a single rate card. There's a practical reason for that: a meal program's real cost depends on a handful of variables that genuinely differ from one program to the next. Knowing what they are makes you a much sharper buyer.
1. Program Size and Headcount
The single biggest factor. Cooking and delivering for 15 children costs more per meal than for 150, because prep, packaging, and the delivery run itself get spread across fewer meals. Good providers still serve small programs (we work with everything from home-based preschools up), but per-meal economics shift with scale, and quotes reflect that.
2. Meal Plan Scope
Lunch only? Breakfast and lunch? Morning and afternoon snacks too? Each added service is another prep cycle and sometimes another delivery. Programs often start with lunch and add snacks or breakfast once the routine is settled, which is a reasonable way to phase in cost.
3. Delivery Schedule and Location
Five deliveries a week costs more than three; a program at the edge of a provider's service area involves more drive time than one near the kitchen. Session-based programs, like camps that run partial weeks or seasons, are usually priced around their actual calendar rather than a full school year.
4. Dietary Complexity
Per-child allergy tracking, gluten-free requirements, vegetarian and vegan counts: handling these properly takes real kitchen process, and a provider who quotes suspiciously low may be treating dietary needs as an afterthought. Ask specifically how dietary accommodations are managed before comparing prices.
Who Pays: Program-Billed vs. Parent-Billed
Billing model changes the experience more than most directors expect. Some services bill each family individually (parents place orders through an app); others bill the program directly, which keeps every child on the same menu with no per-family ordering to chase. How to Compare Quotes Fairly
Get every quote against the same specification: same headcount, same meals per day, same delivery days, same dietary requirements. Then ask what's included (packaging, delivery, menu rotation, substitutions for allergies) so a low headline number isn't hiding add-ons.
